Administrative Assistant
Start: August 2024
Job Summary
NIST is looking for a highly capable person to help support the high school's key programmes: Global Citizen Diploma (GCD) and Creativity, Activity and Service (CAS). This position requires a candidate who has strong organisational skills, is a self-starter, has excellent time management skills, and can work independently and collaboratively. The person will be assigned for four days with GCD and one day with CAS (with some flexibility). Outstanding communication (both written/ spoken) is also expected. Teaching qualifications would be an advantage (though not a necessity).
Responsibilities
- Liaise and support in event coordination (events during the weekdays and weekends)
- Liaise and support in group meetings
- Liaise and support in communications of community partners - exploring possibilities of working together with students
- Liaise and support in the logistical preparation of activities/events
- Liaise and support in logistical preparation of local and international trips, and attend trips where possible
- Support in the organization and attending inter-school events
- Liaise and support in ensuring Child Safeguarding policy paperwork together with coordinators when working with community partners
- Managing timely posts received, communicating with stakeholders (including faculty/ students) ensuring completion of feedback loop
- Support and attend related training, meetings and retreats
- Ongoing tracking and monitoring progress of students

Baker Chef
Responsibilities
- Work directly under Director of F&B Services, Cafeteria Services Manager and dietitian to maintain the bakery section.
- Produce the product required for the sandwich section, lunch menu, functions and before and after school snacks.
- Will be in charge of ordering stock, stock control, stock takes, hygiene control, staff training and catering functions.
- Overtime and weekend work will be required.
- Maintain a good quality and presentations according to the school standard.
- Maintain food safety and protection. All food in working areas should be in compliance with food handling techniques, to include dating, proper storage, rotation, etc.
- Maintain the basic food safety and sanitation in accordance with the school’s policies.
- Ensure all kitchen staff follows all job safety regulations and all hazards are reported to Director of F&B Services.

Examinations Coordinator

Job Summary
NIST is looking for a highly organised person to help facilitate the smooth and efficient administration of accommodation assessments and formal examinations within secondary school. This position involves overseeing the planning, organization, and execution of various internal and external examinations, ensuring compliance with the school's and external boards' regulations. The successful candidate will be responsible for ensuring the coordination of logistics, the management of resources, and the provision of requisite support throughout the assessment/ examination process.
Responsibilities
- Liaise with the MYP/DP coordinator or learning support head of department to confirm assessment accommodations or examination requirements.
- In consultation with the MYP/ DP coordinator or learning support head of department, develop and maintain a timetable, and ensure the necessary invigilation (accommodations) and scheduling of invigilators for examinations.
- Coordinate with relevant personnel for the booking of examination venues.
- Oversee the registration process for students taking external examinations, ensuring accuracy and compliance with examination board regulations.
- Arrange the collation, distribution and collection of examination papers, materials, and equipment as per examination requirements/ guidelines.
- Coordinate with IT staff to ensure the availability and functionality of necessary technology and equipment to conduct the examinations.
- Ensure strict adherence to protocols for maintaining the integrity of the examination and any materials.
- Guide, support, and supervise invigilators to ensure adherence to examination regulations and procedures, including monitoring for any irregularities or breaches of examination protocols.
- Investigate and report any incidents of malpractice or misconduct during examinations, in accordance with school policies and examination board guidelines.
- Provide guidance and reassurance to students regarding examination registration, accommodations, and special arrangements as needed.
- Maintain accurate records of all examination aspects including registrations and absences.

FM Project Engineer
Job Summary
NIST is looking for an accountable FM Project Engineer to be responsible for all engineering and technical disciplines that projects involve. This role will schedule, plan, forecast, resource and manage all the technical activities aiming at ensuring project accuracy and quality from conception to completion.
Responsibilities
- Coordinate / Manage team and contractor activities concerning Facilities Management project i.e. MEP system retrofit & upgrade, Facilities Improvement, Move Add Change Project, Space Alteration / Renovation for a school campus
- Establish work schedules, assign tasks, set & track FM project work and update to the Facility Manager
- Oversees / Manage vendors & technician on Facility Planned Preventive Maintenance Work
- Oversees the project process, including coordinating and directing workers, subcontractors, and suppliers
- Provide technical recommendation to identify, troubleshoot, and resolve day-to-day and moderately complex issues of Facilities Maintenance Work
- Ensure that work execution, administration, and project closeout are completed on time, and to the required quality standards with less complaint from users
- Work cross-functionally with Construction Project Team, School Security Department that involved in the project
- Communicate effectively with all stakeholders to ensure project expectations are met
- Review and update engineering drawings, as-built and other documents to support planning design and troubleshooting efforts
- Other tasks as assigned by the Facility Manager and School Management Team
Qualifications
- Bachelor’s Degree in Engineering or a related field
- At least 5 years of working experience in Facilities Management, preferably in a Supervisory Role
- Having valid Engineer License
- Proficiency in reading and interpreting blueprints, drawings, and technical documents, preferably in AutoCAD drawing skill
- Excellent communication & coordination skills

Human Resources Officer
Job Summary
NIST is looking for a Human Resources Officer to join the compensation and benefit function. This position is responsible for the timely and accurate payroll administration. This role will also assist with the provident fund and all other administration tasks to complete the monthly payroll process and staff cost analysis.
Responsibilities
- Responsible for timely and accurate payroll administration for the academic staff, support staff and coaches
- Oversees the Provident Fund Benefit and Social Security Fund (communicate and update the fund regulations, new/leaving members)
- Ensures staff’s individual files are up to date
- Assist with the verification of employment letters (including promotion, demotion, documents for termination purposes, certificates, etc.)
- Maintains personnel files and HR database in Eagle, Provident Fund, Social Security Fund and Veracross
- Report employee information to related authorities (Social Security, Revenue Department, etc.)
- Assist with the submission of Teachers’ personal income tax and workmen compensation fund
- Assist in relevant projects relates to HR processes (payroll, rewards, benefits, insurance, employee relations activities, etc.)
- Other tasks as assigned by the Director or HR and HR Manager
Qualification
- Bachelor’s Degree in any related field
- 3-5 years of working experience in Human Resources especially in
- Payroll Administration
- Experience in the Eagle system would be an advantage

Video & LIVE Stream Technician
Job Summary
The NIST International School is currently looking for a Video & LIVE Stream Technician. This role will be responsible for the support of a Video and LIVE Stream recording.
Responsibilities
- Attend Key school events, including those outside of regular school hours when require
- Maintaining the quality of work that corresponds with school standards and timely manner
- Train staff in accessing LIVE platform/video on request
- Fulfill school requests (School, Academic) for video recording and/or LIVE video
- Create and manage video database
- Setup devices and peripherals to be connected and functional
- Oversee that hardware and software are maintained to an acceptable level
- Maintain devices and peripheral devices in suitable working order
- Perform routine maintenance procedures on all devices\
- Assist other IT technicians when needed

Qualifications
