Scope of work

The Administrative Assistant and Elementary Secretary works as directed by the PA to Head of Elementary and Deputy Head of Elementary.

Normal working hours is from 7.15 am – 3.45 pm.

Role and Responsibility

Office Systems

  • Assist in the maintenance and development of efficient filing system.
  • Develops database system as required by Deputy Head of Elementary.
  • Assists with the maintenance and the usage of all office equipment.
  • Maintains Elementary Office stationery supplies through related departments.
  • Ensures a safe and tidy work environment in the Elementary Office.

Support Tasks

  • Provides secretarial and clerical assistance to the Elementary Leadership Team.
  • Assists in arranging appointments for the Deputy Head of Elementary and teachers.
  • Supports PA to Head of Elementary Office on Parent workshops and student handover notes.
  • Manages lost property for Elementary Office.
  • Handles general document filing.

Student-Related Tasks

  • Assists in recording the late arrival and early dismissal of students and inform homeroom teachers.
  • Takes care of late pick-up students.
  • Assists in the production of documentation as requested to support entry and withdrawal of students.
  • Handles student file management.
  • Assists in organization of Elementary School field trips.
  • Ensures all students have World Language classes assigned.
  • Sends health notification emails to parents.
  • Performs emergency procedures as specified in the Elementary Scholl Staff Handbook.
  • Distributes internal messages, newsletters through the internal mailing system.
  • Develops awareness of the Whole School Operation.


  • Receives and transfers telephone calls to appropriate individuals and take messages if necessary.

  • Provides prompt responses to enquiries from students, parents, faculty and visitors regarding school policies, services and procedures.
  • Assists administration with Elementary blogs and bulletin boards in the Elementary Office area.
  • Places, receives and records the Elementary Office telephone calls.
  • Assists in information compilation for newsletters.
  • Serves as Interpreter when necessary for the Elementary Office.


  • Liaises with the Secondary Secretaries and Head Office Secretaries to ensure consistency of operation and good practice.
  • Assists the Whole School administration in special administrative tasks.
  • Collates and organizes Academic Assistant Standards and Practices.
  • Coordinates outgoing mails, faxes and postage with related departments.
  • Produces MLC Saturday roster and shares with HR office.


  • Thai nationality
  • Bachelor’s degree in any related field
  • Minimum 2 years of experience in administrative or secretarial area.
  • Good communication and interpersonal skills.
  • Detail-oriented, problem solving with good task prioritization.
  • Patient, service minded with a positive attitude.
  • Fluent in both written and spoken English
  • Competent in computer operation.
  • Able to work individually or as a team member.
